With the storm behind us and the rebuilding just beginning, how do we ensure that our data is safe no matter what strikes?
For starters, the reason why we are saying data and not hardware is because, as we saw last week, all the planning, sand bags and generators may not be enough to protect one’s physical hardware.
Hardware is always replaceable. The data, however, may not be replaceable. Therefore, we highly recommend always having data backups.
Read below to see some backup options.

LOCAL BACKUP – A local backup is when you store a copy of your data on a physical piece of hardware. This can be done by setting up a mirrored drive in your desktop or server. This will put all data on your hard drive on to a second hard drive. This is the perfect solution for when a hard drive fails. Another option is to set up an external hard drive and either back up essential data or clone one’s hard drive.

ONLINE BACKUP – The benefit of an online backup over a local backup is that a local backup can still incur damage, whereas the data backed up online will always be safe. There are many companies that provide online backup solutions. Determining the correct solution really depends on what you need. Below are some of the different options/features which one should consider before looking for an online backup solution:

1. Cost – Some companies charge per computer while others charge based on the data amount used.
2. Backup time – How long the backups take.
3. Frequency of backups – Some programs take instant backups of the entire computer, while others backup just specific files. A program may complete general backups hourly, daily or weekly.
4. Online access – How easy it is to access your data online.
5. Data saved – How long the program keeps your data for. Some programs keep data for 30, 60 or 90 days while others will keep unlimited versions of your data. This means that you can always go back to any date within the range and retrieve the QuickBooks file, Excel spreadsheet or any other file that has been missing, edited or deleted at some point (usually we don’t find out we are missing it until we are in middle of an audit!)
6. Retrieving the data – How long does it take to get your data back? Some programs make you select file by file, while others will mail you a CD with all your data on it.

Determining the correct solution for your particular situation depends on your particular needs. For some we recommend going straight to the cloud and not storing anything on local hard drives, while for others we recommend either a local or online backup solution, or a combination of local and online solutions.
